How to Sync Between Microsoft Dataverse & SharePoint List Using Power Automate

In today's digital workflows, storing data efficiently is only one part of the process — making that data available across multiple platforms is equally critical. If you've been building apps with Microsoft Power Platform, you've likely needed to sync data between Dataverse and SharePoint.

In this guide, I'll walk you through a Power Automate flow that syncs records from a SharePoint list to a Dataverse table, with smart duplicate prevention and dynamic mapping.

Why Sync Dataverse to SharePoint?

Dataverse is the native data platform for Power Platform — scalable, secure, and relational. But SharePoint still plays a vital role:

  • Familiar to non-technical users
  • Easy to connect with Excel, Power BI, and Teams
  • Great for external stakeholders to view or export records
  • Useful for custom dashboards, approval workflows, and document attachments
  • By syncing records, you bridge two ecosystems — enabling visibility, flexibility, and collaboration.

    What You'll Need

  • Dataverse Table — Idea Submission
  • SharePoint List — Your target list
  • Power Automate — To build the flow logic
  • Unique ID Field — Like Idea Title to match records
  • Permissions — Access to both environments
  • Step-by-Step: Build the Sync Flow

    Step 1: Create an Automated Cloud Flow

    Go to Power Automate → Create > Automated cloud flow. Name it SharePoint to Dataverse. Trigger: When an item is created or modified (SharePoint).

    Step 2: Configure the SharePoint Trigger

  • Site Address: Your SharePoint site
  • List Name: Idea Submission
  • Step 3: Search Dataverse for Existing Idea

    Add List rows (Dataverse) with filter:

    cr999_submitteremail eq '@{triggerBody()?['Email']}'

    Step 4: Add a Condition

    length(body('List_rows')?['value']) is greater than 0

    Step 5: Update or Create in Dataverse

    If exists (Yes): Use Update a row with Row ID from the first record.

    If not exists (No): Use Add a new row with the same field mapping, then update SharePoint Items based on ID.

    Map fields:

  • Idea Title → Title
  • Email → Email
  • Description → Description
  • Submission Date → Submission Date
  • UpdatedByFlow → Yes
  • Real-World Use Case

    I used this flow in an internal idea submission app for a Power Platform training project. Power Automate:

  • Synced ideas into Dataverse
  • Enabled deeper analysis with Power BI
  • Triggered approval flows for high-impact ideas
  • Issued badges or rewards after review
  • Conclusion

    With just a few steps in Power Automate, you can maintain data consistency, avoid duplicates, unlock advanced Power Platform features, and build a foundation for analytics, approvals, and automation.
